VPSFix Mail Unmanaged Sending Policy

Effective date: 26th August 2026
Last updated: 26th August 2026

This Unmanaged Sending Policy applies to VPSFix Mail plans where the customer provides and controls their own supported email sending account, SMTP service, API-based delivery provider, or other supported sending infrastructure.

This policy supplements the VPSFix Terms of Service, Acceptable Use Policy, Email & Anti-Spam Policy, Privacy Policy, and Refund & Cancellation Policy.

1. Scope

Under an Unmanaged or Bring Your Own Sending plan, VPSFix provides access to VPSFix Mail, while the customer supplies and operates the account used to deliver email.

VPSFix does not own or control the customer’s third-party sending account.

2. Customer Sending Provider

The customer is responsible for selecting, purchasing, configuring, and maintaining a sending provider compatible with VPSFix Mail.

The customer is responsible for:

  • provider registration;
  • provider billing;
  • account approval;
  • sending quotas;
  • SMTP or API credentials;
  • sending-domain verification;
  • IP reputation where applicable;
  • domain reputation;
  • provider limits;
  • provider compliance requirements;
  • maintaining the provider account in good standing.

3. Provider Approval and Quotas

VPSFix does not guarantee that a third-party provider will:

  • approve the customer’s account;
  • approve production sending;
  • grant a requested sending quota;
  • allow a particular business model;
  • permit a specific type of campaign;
  • continue providing service indefinitely.

Any approval, quota, restriction, suspension, or termination imposed by the customer’s sending provider is primarily a matter between the customer and that provider.

4. Provider Credentials

The customer is responsible for supplying valid credentials needed to connect VPSFix Mail to the selected provider.

The customer must protect those credentials and promptly replace them if compromise is suspected.

VPSFix may store or process credentials where technically necessary for VPSFix Mail to communicate with the provider, subject to the VPSFix Privacy Policy and applicable security controls.

5. Provider Billing

Charges imposed by the customer’s sending provider are separate from VPSFix Mail subscription fees.

The customer is responsible for all provider fees, including:

  • sending charges;
  • dedicated IP fees;
  • monthly provider fees;
  • data transfer charges;
  • overage fees;
  • other provider-specific charges.

A failure to pay the customer’s provider is not a VPSFix billing failure.

6. Sending Limits

VPSFix Mail plan limits may still apply independently of the customer’s provider quota.

For example, a provider may permit more email than the customer’s VPSFix Mail plan allows.

The lower applicable service limit may therefore control actual usage.

Conversely, purchasing a VPSFix Mail plan with a higher allowance does not increase the customer’s provider quota.

7. Deliverability and Reputation

The customer is responsible for the reputation of their own sending account and infrastructure.

VPSFix does not control:

  • provider IP reputation;
  • dedicated IP reputation;
  • provider account history;
  • provider throttling;
  • provider suppression rules;
  • external blocklists;
  • mailbox-provider filtering.

VPSFix does not guarantee inbox placement, delivery rate, open rate, click rate, or sender reputation.

8. Provider Suspension or Restriction

If the customer’s sending provider suspends, limits, or terminates the customer’s account, VPSFix is not required to restore or bypass that provider access.

The customer may connect another supported provider, subject to their VPSFix Mail plan and technical compatibility.

Provider suspension does not by itself constitute a failure of VPSFix Mail.

9. No Circumvention Assistance

VPSFix will not assist customers in:

  • evading provider enforcement;
  • creating replacement accounts to bypass legitimate suspensions;
  • concealing prohibited sending behavior;
  • providing false information to a provider;
  • misrepresenting mailing practices;
  • bypassing provider quotas or abuse controls.

VPSFix may assist with legitimate configuration, migration, and integration of supported sending accounts.

10. Acceptable Use Still Applies

Using a customer-owned sending account does not exempt the customer from VPSFix policies.

Unmanaged customers must still comply with:

  • VPSFix Acceptable Use Policy;
  • VPSFix Mail Email & Anti-Spam Policy;
  • applicable law;
  • their provider’s terms and policies.

VPSFix may suspend or terminate VPSFix Mail where the platform is used for spam, phishing, fraud, abuse, or other prohibited activity, even if the underlying provider has not yet taken action.

11. Monitoring and Abuse

VPSFix may use operational data available within VPSFix Mail to identify potential abuse.

This may include:

  • sending patterns;
  • complaint information;
  • bounce information;
  • campaign metadata;
  • account activity;
  • abuse reports.

VPSFix does not assume responsibility for managing the customer’s sending-provider reputation merely because such information is visible through VPSFix Mail.

12. Technical Compatibility

VPSFix supports only sending methods and providers that are compatible with the version and configuration of VPSFix Mail being offered.

VPSFix may discontinue or change support for a provider where:

  • the provider changes its API;
  • authentication methods change;
  • the integration becomes insecure;
  • compatibility is removed upstream;
  • continued support becomes technically unreasonable.

Where practical, VPSFix may provide notice of material compatibility changes.

13. Third-Party Service Availability

VPSFix is not responsible for outages, service degradation, API failures, billing failures, or account restrictions originating solely from the customer’s sending provider.

VPSFix remains responsible for providing the VPSFix Mail platform in accordance with the applicable VPSFix service terms.

14. Troubleshooting Boundary

VPSFix may assist with confirming whether VPSFix Mail is correctly configured to communicate with a supported provider.

However, VPSFix is not responsible for resolving issues internal to the customer’s provider account, such as:

  • provider billing problems;
  • provider compliance reviews;
  • provider account suspension;
  • provider internal deliverability systems;
  • provider quota decisions;
  • provider-side authentication failures caused by incorrect or revoked credentials.

Additional technical assistance may be offered separately where appropriate.

15. Data Processing by Third-Party Providers

When the customer uses their own sending provider, message content and recipient information may be transmitted to and processed by that provider.

The customer is responsible for ensuring that their chosen provider is appropriate for their legal, privacy, and data-processing requirements.

The provider’s own terms and privacy practices apply independently.

16. Refunds

A customer’s inability to send because of:

  • provider suspension;
  • provider rejection;
  • provider billing issues;
  • insufficient provider quota;
  • provider policy enforcement;
  • provider account closure;

does not automatically create a right to a VPSFix Mail refund where the VPSFix Mail service itself remains available and functional.

Refund eligibility is governed by the VPSFix Refund & Cancellation Policy.

17. Moving Between Providers

Customers may be permitted to replace or change their sending provider where technically supported.

Such changes may require:

  • new credentials;
  • DNS changes;
  • sender verification;
  • configuration changes;
  • new reputation warm-up;
  • additional technical work.

Any such change remains subject to the customer’s plan and VPSFix support scope.

18. Changes to This Policy

VPSFix may update this policy to reflect changes in VPSFix Mail, supported providers, technical requirements, abuse patterns, or applicable laws.
