VPSFix Mail Managed Sending Policy

This Managed Sending Policy applies to VPSFix Mail plans where VPSFix provides, operates, or controls the sending infrastructure used to deliver customer email.

This policy supplements the VPSFix Terms of Service, Acceptable Use Policy, Email & Anti-Spam Policy, Privacy Policy, and Refund & Cancellation Policy.

1. Scope

Under a Managed plan, VPSFix provides access to VPSFix Mail together with VPSFix-operated sending infrastructure.

The exact limits and features of the service depend on the purchased plan.

Managed plans are intended for legitimate, permission-based email marketing, transactional email, and other lawful email communication.

2. Account Approval

Managed plans may require manual review before sending access is enabled.

VPSFix may request information such as:

  • business or website details;
  • intended email content;
  • expected sending volume;
  • mailing-list size;
  • methods used to collect subscribers;
  • examples of signup forms or consent language;
  • previous sending history;
  • information reasonably necessary to assess abuse or reputation risk.

Approval of an account does not mean VPSFix has independently verified the legality or quality of the customer’s mailing list.

The customer remains responsible for compliance with applicable law and VPSFix policies.

3. Sending Infrastructure

Managed sending infrastructure may include services operated by VPSFix and third-party email delivery providers.

Customers do not receive ownership or administrative control of VPSFix’s underlying sending accounts, credentials, IP addresses, provider accounts, or infrastructure.

VPSFix may change underlying providers, configurations, domains, IP addresses, routing, or infrastructure where reasonably necessary to operate the service.

4. Sending Limits

Plan limits may include:

  • monthly email credits;
  • subscriber limits;
  • sending-rate limits;
  • sending-domain limits;
  • tracking-domain limits;
  • other technical or account limits.

These values represent maximum service entitlements and do not guarantee that all permitted volume can be sent immediately or continuously.

VPSFix may impose temporary throttling or lower operational limits where needed to protect service stability, sending reputation, shared infrastructure, or upstream provider accounts.

5. Email Credits

Email credits are a usage allowance within VPSFix Mail.

Unless a plan specifically states otherwise:

  • credits reset according to the plan billing cycle;
  • unused credits do not roll over;
  • credits have no cash value;
  • credits are not transferable;
  • credits do not guarantee successful delivery;
  • credits are not equivalent to a guaranteed third-party provider quota.

Email may consume credits based on the platform’s sending process even where a message is later rejected, filtered, bounced, or placed in spam by a recipient system.

6. Shared Reputation

Managed customers may share portions of VPSFix-operated sending infrastructure.

Customer activity may affect the reputation and availability of shared:

  • domains;
  • IP addresses;
  • provider accounts;
  • sending identities;
  • other infrastructure.

Customers must therefore maintain reasonable list quality and sending practices.

VPSFix may take preventive action where a customer’s activity creates a material risk to other customers or shared infrastructure, even before an upstream provider imposes enforcement.

7. Bounce and Complaint Activity

VPSFix may monitor operational indicators including:

  • hard-bounce rates;
  • complaint rates;
  • suppression events;
  • unusual increases in volume;
  • provider warnings;
  • blocklist events;
  • abuse reports;
  • other indicators relevant to sender reputation.

VPSFix may pause or restrict sending where these indicators create a reasonable concern.

The existence of a specific numerical threshold does not prevent VPSFix from acting earlier where the nature of the activity presents a clear risk.

8. List Review and Evidence

VPSFix may request evidence regarding how recipients were acquired.

This may include:

  • signup forms;
  • website pages;
  • consent language;
  • import sources;
  • customer records;
  • campaign history;
  • other relevant information.

Failure to provide reasonable information may result in throttling, suspension, or termination where continued sending would create unacceptable risk.

9. Domain Authentication

Managed customers may be required to configure and maintain appropriate domain authentication and tracking settings.

This may include:

  • SPF;
  • DKIM;
  • DMARC;
  • sender-domain verification;
  • custom tracking domains;
  • other DNS records required by VPSFix or the underlying provider.

The customer is responsible for maintaining access to their DNS provider and ensuring required records remain in place.

10. Sending Pauses and Protective Action

VPSFix may temporarily pause or restrict sending without prior notice where reasonably necessary to protect:

  • shared sending reputation;
  • service availability;
  • upstream provider accounts;
  • other customers;
  • recipients;
  • VPSFix infrastructure.

Where appropriate, VPSFix may request corrective action before restoring sending.

Protective action does not necessarily mean that the customer’s entire VPSFix Mail account will be terminated.

11. Third-Party Provider Enforcement

Managed infrastructure may depend on third-party providers such as email delivery services.

Those providers may impose:

  • quotas;
  • content restrictions;
  • reputation requirements;
  • temporary sending pauses;
  • account reviews;
  • suspensions;
  • other limits.

VPSFix does not guarantee that an upstream provider will always approve or continue to permit a particular sending model, domain, campaign, or volume.

Where an upstream provider restricts or suspends infrastructure, VPSFix may modify, pause, or discontinue affected sending functionality while addressing the issue.

12. No Deliverability Guarantee

Managed plans do not guarantee:

  • inbox placement;
  • delivery to every recipient;
  • avoidance of spam folders;
  • removal from blocklists;
  • specific open or click rates;
  • sender-reputation scores;
  • uninterrupted third-party provider availability.

Deliverability depends on factors outside VPSFix’s control, including recipient behavior, list quality, content, sender reputation, domain history, mailbox-provider filtering, and upstream provider policies.

13. Abuse and Policy Violations

Managed plans are subject to the VPSFix Acceptable Use Policy and Email & Anti-Spam Policy.

Serious or repeated violations may result in:

  • warning;
  • throttling;
  • temporary sending suspension;
  • account suspension;
  • termination.

Phishing, deliberate spam operations, fraudulent activity, or intentional attempts to evade abuse controls may result in immediate action.

14. Refunds Following Enforcement

Suspension or termination resulting from customer abuse, prohibited sending, or violation of applicable policies does not automatically create a right to a refund.

Refund eligibility is governed by the VPSFix Refund & Cancellation Policy.

15. Changes to Managed Infrastructure

VPSFix may reasonably modify managed infrastructure, sending providers, technical limits, or protective controls where necessary to maintain the service.

Material changes affecting the commercial nature of the service will be handled in accordance with the VPSFix Terms of Service.
